Front Desk Administrator
Position Summary
The Front Desk Administrator helps manage our reception area, and serves as one of the first points of contact for every client who walks through our doors. They own key administrative processes including client follow-up, scheduling coordination, and office operations. This role ensures seamless communication and efficient workflow between clients and our internal teams.
Key Responsibilities
Client Experience & Reception
- Greet clients and visitors and ensure a welcoming office experience
- Collect and upload client intake forms, ID’s, and photos
Call Management & Scheduling
- Answer, screen, and route incoming calls
- Schedule new client (NEP) and review appointments
- Send calendar invites, and manage confirmations
- Transfer files to internal teams
Client Processing & Coordination
- Conduct client reminder calls and appointment confirmations
- Manage client check-out procedures
- Coordinate signing appointments and logistics
- Maintain accurate client records in internal systems
- Assist with retainers, payments, and trust-related requests
Operational Administration
- Prepare meeting agendas and document meeting notes
- Assign meeting rooms and manage daily office logistics
- Maintain front office cleanliness and organization standards
Office & Vendor Coordination
- Manage office supply inventory for front office areas
- Coordinate vendors for office services and supplies
- Assist with food pickup and office event logistics
Qualifications
- Associates or Bachelors degree in business, management or related field
- 2–4 years of administrative or operations experience
- Strong communication, interpersonal and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
