Senior Administrative Assistant

Our Senior Administrative Assistant position works as the direct assistant to our attorneys, helping them with the details of putting together an estate plan for our clients.  No legal experience is required as our thorough training program will cover all the details of the job.  If you have handled tasks that require office management, banking, accounting, organizational or related skills, your experience could transfer over well to our position.   Our Senior Administrative Assistant will ideally gain the training and understanding to become a Paralegal within the first 12 months.  This is a new position created due to growth of our firm.

Essential Job Functions:  

  • Responsibilities include assisting our attorneys with various facets of estate planning and trust administration including:
    • Drafting correspondence and legal documents 
    • Preparing deeds, inventories of clients’ estates, and probate pleadings
    • Assisting with the preparation of federal estate tax returns and gift tax returns
    • Reviewing bank statements, notarizing and filing documents, mailing notices
    • Organizing and maintaining client files
    • Meeting with clients, trustees, and family members
    • Communicating with beneficiaries
  • Work with attorneys to gather information and prepare estate plans and other legal documents, including, but not limited to, trusts, wills, durable powers of attorney, health care directives, and amendments
  • Assist with funding trusts and other entities, including preparation of deeds and assignments
  • Guide clients through legal documents and manage client signing processes

Requirements:  

Our ideal candidate will possess:  

  • Two or four year degree in a related field
  • Two or more years of experience in a legal, accounting, banking, office management or similar role where organization, detail orientation and following processes is required
  • Excellent math and computer skills
  • Exceptional problem solving, analytical skills, and proofreading skills
  • High attention to detail, efficient work habits, and a willingness to learn

Must be a highly motivated individual with a positive attitude who possesses strong communication skills, is extremely empathetic, and prioritizes offering the highest level of service to our clients.  Professionalism and teamwork are highly valued in our office, so the best candidate for the role will work well with attorneys, co-workers, clients, and their advisors, such as accountants and financial planners.  Must be deadline driven and a self starter.
